Guest Services Associate

The Guest Services Associate is part of the team that provides initial guest and group contact and administrative support for the Ranch’s success in its mission of hospitality. The Guest Services Associate reports to the Guest Services and Business Manager.

Essential Responsibilities:

• Respond to guests’ needs and questions during the day
• Host groups and meals as scheduled
• Act as primary receptionist as scheduled
• Assist the Guest Services and Business Manager
• Assist the Reservations Coordinator in preparing for groups as needed
• Assists Program Director in maintaining ranch program registrations and prepare program materials
• Data entry of group rosters and maintaince of mailing lists
• Maintain Ranch Welcome Binders
• Stock Ranch brochures, newsletters, and promotional materials
• Purchase and maintain office supplies
• Purchase and maintain first aid supplies
• Maintain Ranch bookshop, including shipping and handling of orders
• Maintain sundries for sale in the office
• Maintain the lost & found database and inventory
• Collect the mail
• Assist with mailings
• Special event projects
• Other tasks as assigned by supervisor

Qualifications

• Computer skills, familiarity with Microsoft Office Suite and Filemaker Pro
• Administrative experience
• Enjoy teamwork and working with staff in different departments
• Ability to work independently with little or no supervision
• Ability to manage multiple tasks and follow through on projects
• Ability to maintain discretion with sensitive information• At least two years of hospitality and office experience
• Experience with iMac computers, FileMaker Pro, Word, and Excel
• Excellent interpersonal skills with a focus on hospitality
• Excellent verbal and written communication skills
• Well-organized with attention to detail
• Strong problem solving and research skills
• High comfort level with religious and spiritual programs
• Knowledge of basic emergency response skills: contacts, CPR, AED 

• With initial direction, able to complete tasks alone 

• Able to lift and carry tools and objects while walking over the property 

• Able to lift 40 pounds unassisted and 60 pounds with assistance 

• Environmental sensitivity 

• Able to adapt to flexible scheduling, including occasional weekends
