Advancement Assistant

We are currently looking for qualified candidates for the newly-created position of Advancement Assistant. This person will assist the Advancement Director in fundraising operations at The Bishop’s Ranch.

Essential Responsibilities:

Gift processing and records database
• Update and manage the donor records database
• Process and record gifts to the capital campaign and operations
• Acknowledge gifts by letter and other methods according to gift processing protocol
• Produce prospective donor lists
• Produce donor and gift progress reports
• Assist in prospect research

• Respond to electronic and paper correspondence with donors
• Respond to queries and concerns from donors
• Update website and social media sites
• Assist in arranging visits to donors
• Assist with newsletter production
• Organize electronic and paper mailings
• Produce and send pledge reminders

• See to day to day campaign administration, especially when the Advancement Director is away from the Ranch
• Organize and Maintain files and records
• Manage campaign materials such as volunteer handbook
• Manage storage of campaign and advancement promotional materials
• Assist in organizing and arranging campaign and volunteer meetings
• Assist in providing support to advancement and campaign committees

• Assist with organizing and preparing advancement events
• Communicate event details with operations staff


• Computer skills, familiarity with Microsoft Office Suite and Filemaker Pro
• Administrative experience
• Enjoy teamwork and working with staff in different departments
• Ability to work independently with little or no supervision
• Ability to manage multiple tasks and follow through on projects
• Ability to maintain discretion with sensitive information
